Registration Guidelines for Authors

General Guidelines

The presenting author must complete the registration before proceeding with IEEE PDF eXpress and submitting the camera-ready paper through EDAS (see details: https://www.bits-pilani.ac.in/delcon2026/delcon-camera-ready-submission/).
One author registration covers one accepted paper only.
Author registration fee once paid is non-refundable under any circumstances.
Full Conference Registration includes conference entry and access to all technical sessions, registration kit, reception, banquet dinner, lunch, and high tea.
All eligible papers processed in accordance with the conference deadlines and applicable publication requirements will be considered for publication without any separate publication fee.
Conference registration does not include accommodation. However, the organizers will facilitate suitable accommodation options on a paid basis, subject to availability.
Each accepted paper may have up to 6 pages in the final camera-ready submission, with a maximum of 2 additional pages permitted at an extra charge of ₹1,000 per page for Indian authors or USD 50 per page for foreign authors.
Applicable GST, bank charges, foreign exchange conversion charges, and payment gateway charges, if any, shall be borne by the participant and may apply additionally.
Only the registered author who presents the paper will be entitled to receive a Presentation Certificate.

Registration Refund and Replacement Policy

Registration fees are non-refundable under any circumstances, including cancellation, withdrawal, non-attendance, or no-show.
Registration may be transferred only to another co-author of the same accepted paper. If the replacement co-author falls under a higher registration fee category, the applicable difference must be paid before the transfer is approved; if the replacement co-author falls under a lower registration fee category, the difference will not be refunded.
All replacement requests must be submitted on or before 6 November 2026 by email to delcon2026@pilani.bits-pilani.ac.in with the subject line “Replacement Request for Paper ID [Paper ID]”.
Registration cannot be transferred to a person who is not a co-author of the registered paper.

No-Show Policy

All accepted papers must be presented in person at IEEE DELCON 2026 by at least one registered author.
Papers that are not presented at the conference will be treated as no-show papers and will neither be included in the conference proceedings nor submitted for possible inclusion in IEEE Xplore.
Only papers that are accepted, registered, and presented will be considered for inclusion in the conference proceedings and submitted for possible inclusion in IEEE Xplore, subject to meeting the applicable IEEE Xplore scope and quality requirements.

Substitute Presenter Policy

If none of the authors is able to present the paper in person due to an unavoidable circumstance, the authors may request approval for a substitute presenter, subject to the applicable IEEE conference presentation and no-show guidelines.
The substitute presenter must be suitably qualified to present the technical content of the paper and respond to questions during the session.
Substitute presentation is permitted only with prior approval from the IEEE DELCON 2026 Organizing Committee. Requests must be submitted on or before 6 November 2026 by email to delcon2026@pilani.bits-pilani.ac.in with the subject line “Substitute Presenter Request for Paper ID [Paper ID]”, along with the substitute presenter’s name, affiliation, email address, and justification.
